Overall Purpose of the Role
● Main Liaison between Crozier West Drayton and Christie’s Business and to manage and support all visits by Christie’s Wine Specialists and wider operations teams.
● Coordination and management of all Property (wine and aged stock) entering and leaving the Warehouse.
● Ensure the seamless flow of activity during the Sale Process, from the organisation of pre-sale delivery, through cataloguing and Photography, to Sale Transfer and Post-Sale Collection. All activities must be done according to HMRC requirements and agreed governance incl SOPs & KPIs.
Main Responsibilities
● Act as first point of contact for all Crozier/Christie’s Operational matters and inquiries via email and telephone.
● To liaise with Christie’s to confirm details of incoming consignments and ensure receipt of stock list onto Crozier and Christie's stock management systems.
● To coordinate with Shippers and Carriers when appropriate to schedule deliveries and organise the Collection Schedule.
● To communicate with Christie’s in the event of a non-scheduled delivery.
● To ensure JDE is updated to accurately reflect any discrepancies between physical stock and inventory systems following any requested bottle checks especially in relation to quantity, vintage, packing or description.
● Responsibility for all paperwork required to deliver and collect from the warehouse by liaising with the Sale Coordinators, Business Support, Specialists, Payments and Post-Sale Team.
● To ensure the Client Experience is aligned with Christie’s Standards, undertaking client issue escalation and resolution where required.
● To ensure all ‘Under Bond’ stock is HMRC compliant and escalate any discrepancy immediately.
● To undertake repacking of stock on advice of Christie’s, and update inventory systems appropriately.
● To undertake / facilitate Photography Condition Reports within 24 hours of Christie’s Request.
● To ensure the site is maintained in a tidy manner and ready for specialists visits.
● Escalate incidences of damage and prepare damage reports as per the agreed KPIs.
● Plan and book appropriate resources to support operational requirements. Supervise Crozier Art
Techs whilst on site and manage workflow. Report service activities and hourly usage to Christie’s. ● Manage inventory according to agreed KPIs and SOPs.
● Facilitate the agreed ways of working (SOPs) and where appropriate propose areas for process improvement.
● To manage and control the flow of Christie’s products throughout the building, ensuring all items are barcoded and condition checked with all product movement recorded accurately in the IT Inventory system.
● To pre-pull, unpack when required, and assist with Property for the Christie’s Cataloguing and/or Photography to ensure a streamlined process is in place for maximum productivity.
● To take receipt via Christie’s Release Paperwork, instruction to release Property to Christie’s Clients or their Representatives.
● To reconcile all Property released against Christie’s Release Paperwork and to update Christie’s Systems as appropriate and ensure the relevant legally binding paperwork is signed and returned to Christies in a timely manner ; to update Christie’s as to any anomalies immediately.
● Carry out Stock Check as required against Christie’s Systems; a Report of both confirmed held stock and/or anomalies to be emailed to Christie’s.
● Ensure Property is handled and stored in a manner that meets the Christie’s Art Handling guidelines
● Maintain security of Warehouse including segregation and access points.
● Monitor environmental conditions within the warehouse, specifically wine vault and escalate immediate any variances outside of agreed KPIs.
● To diligently manage and lead Health and Safety policy and requirements; ensure Risk Assessments and Method Statements are complete and updated for all regular and ad-hoc Warehouse activities undertaken by both Christie’s and Third-Party Suppliers.
● To manage Warehouse scheduling with key partners including Saleroom Operations, Facilities, Client Service and Security through regular weekly meetings.
● Implement the principles of 5S, Sort, Set In order, Shine, Standardise and Sustain to ensure all warehouses have a very high standard of cleanliness and organisation, befitting the world’s leading art business.
Skillset
● Highly Organised with an attention to detail.
● Strong IT Skills (Microsoft Office, G Suite, Customs Software advantageous).
● Experience of working in Customs & Excise warehouse environment and using Warehouse Management Systems, ideally in the wine industry.
● Able to work under pressure fulfilling multiple deadlines simultaneously, with a high degree of organisation with ability to multitask, prioritise, and follow up promptly.
● Excellent communicating skills including fluent spoken and written English.
● Ability to investigate, plan and implement strategically effective supply chain and quality control methods.
● Strong ability and experience of people management.
● The ability to create, amend and maintain a constantly changing schedule.
● Ability to work professionally and responsibly with key accounts, specifically operational and specialist areas.
● Desire to learn and take on new challenges.
● Adaptable to flexible schedule; must be able to work long hours, with some weekend and holiday work, as needed, to meet the needs of the business.
● FLT Licence or willing to learn and obtain.
