Keeling Andrew & Co, fine wine importer and sibling company to Noble Rot magazine and restaurants, is looking for an Operations Assistant to join our growing team. Providing administrative support to the logistics, purchasing and sales departments, the ideal candidate is a positive thinking wine lover with exemplary organisational and IT skills (French language is also an advantage).
Key day-to-day responsibilities of the role will include:
Sales Orders
* Processing customer sales orders
* Administering sales email inboxes
* Administering sales campaigns and the allocation process for Keeling Andrew’s premium agencies (to private and trade clients)
* Ongoing customer relationship management (private and trade clients), which includes responding to enquiries, notifying customers of vintage/price changes, suggesting alternative products where appropriate, liaising with the sales team to ensure that customer expectations are fulfilled
Purchasing & logistics
* Creating products and placing purchase orders with Keeling Andrew’s growing portfolio of fine wine producers and network of UK suppliers
* Monitoring stock levels and forecasting future ordering requirements
* Coordinating incoming shipments and compliant customs documentation with our supply chain partners
* Ongoing communication with warehouse partners to land stock and solve problems with deliveries, product shortages, mis-picks, clerical issues etc
* Assisting with periodic stock takes
Finance & Reporting
* Sending invoices/credit notes/statements to customers
* Answering invoice queries from customers
* Assisting our bookkeeper with credit control (checking and chasing outstanding debts before placing orders)
* Checking warehouse and supplier invoices
* Monitor sales prices and margins
Desired skills and experience
- Experience of working in a similar office role
- French language skills
- A passion for artisanal wine and food
- Excellent IT skills, including knowledge of Microsoft Excel.
- Responsible, ambitious, hard-working, highly motivated, well organised, and excited to be part of the Keeling Andrew & Co team.
Salary: £25,000

40 hours per week (09:00 – 17:30, Monday-Friday)
Based at 48 Lambs Conduit St, London WC1N
