Job Purpose
Under the supervision of the Sales & Administration Manager, to supports the sales network in managing sales orders from Sales Representatives or Customers, and gives help and support to other members of the office staff. Duties will include, processing orders and handling queries that arise from Customers Sales Representatives and Logistic Partners, reconciliations of sales and purchase orders with customers and supplier accounts. Liaising with different departments within the business, processing and managing large volumes of data and using excel skills to gather data and information in order to develop business analysis and trends.
Overview of Responsibilities
Manages orders received both from Sales Representatives and Customers
Provides customer service and deals with customers queries
Shares the responsibility for the credit control of the company
Checks orders and notifies the Operations Manager of any problems regarding sales orders
Provides support for order entry transactions and sends them to the logistics operator
If notified of unsuccessful deliveries by the logistics operator, immediately informs the sales agent of reference
Manages of “ex-cellar” orders for customers
Supports the Sales Manager and relevant sales network in preparing commercial statistics
Ensures that sales records are accurately maintained
Review of suspended orders on a daily basis
Maintains good relationships with customers, Account Managers and other departments within the company
Ensures that all queries and disputes are recorded in the appropriate format and resolved in a professional and timely manner
Assists in a number of Finance related projects, using the business accounting system to adjust and accurately record financial entries (full training will be provided)
Completes tasks raised by the line manager in an accurate and timely manner
Provides assistance to all other members of the office team
Any other duties as reasonably required
Experience / Skills
Experience of customer service management within a professional office environment
Experience of working within a FMGC environment
Excellent verbal and written communication skills
High level of interpersonal skills, with an ability to deal with people at all levels including senior management
Demonstrate ability to use own initiative and flexible in personal approach
Ability to prioritise work to meet targets and take ownership of ad-hoc tasks
Microsoft Office, including Excel and Word to a good level
Italian language and Wine Industry experience would be an advantage
Hours - Monday - Friday - 9am - 5pm with an hour for lunch. Holiday 20 days (plus bank holidays), rising to 25 days with length of service.
Salary - £22 to £25k according to experience
