Overall Objective of Role 

To provide the head buyer with support in the supervision and organisation of the supply chain team.   Organising the daily tasks for the team and working with them to provide timely responses and adequate stock levels for areas of the business.  Relationship building is critical to the role to work with the team and to rectify any issues for customers, internal teams and to ensure the smooth delivery of orders.

Due to business requirements, it is expected that this employee will need to have a high degree of flexibility in order to meet the demands of the role. Therefore it may be necessary to work out of normal working hours due to the nature of the customer base.  The role holder must be able to adjust to a broad and fluid set of tasks as requirements change in this progressive company.

Primary Duties and Responsibilities

  • Responsible for supporting and organising the supply chain with their day to day jobs – orders, returns, liaising with suppliers, responding to queries;
  • Work closely with the key warehouse staff when there are ongoing issues with receipt of goods and matters relating to stock;
  • To support the Buying team with the purchase of stock to maintain accurate stock levels in the warehouses using product history, seasonality and annual events efficiently;
  • Supporting the buyers by supplying of accurate reports on different areas of the business when needed;
  • Working with suppliers when there are specific issue to facilitate the best ways of working with them to ensure minimal stock and invoicing;
  • Support all aspects of the business, including online, on-trade, retail and editorial teams in order to ensure stock levels are accurate for needs of the business, and the different areas are kept up to date with information regarding stock movement;
  • Working closely with the on trade team on ensuring accurate and timely information on stock issues and new products as well as working with them when new accounts/menus are launched to ensure accurate stock levels;
  • Working with supply chain and events team to provide all the stock is in on time for various shows and events;
  • Attending monthly meetings with trade team;
  • Working with the buying team to ensure accuracy of data/timely updates on the Company’s ERP system; Defacto;
  • Work closely with the senior managers;
  • Working with the product manager, buying team, suppliers and accounts to improve invoice accuracy. 

Key Skills and Knowledge 

Essential: 

  • Excellent verbal and written communication skills
  • Minimum of 8-10 years supply chain experience
  • Experience of dealing with HMRC
  • Excellent IT skills including Excel and Microsoft packages
  • Strong mathematical ability
  • Enjoy working in a fast-paced environment
  • Confident decision maker
  • Ability to work within a team or alone
  • Excellent attention to detail
  • Interest in wines and spirits
  • Previous management / supervisory experience
  • Worked with under bond processes
  • Ability to work with different areas of the business

  • Knowledge of spirits and wine business
