Receptionist/Secretary (Wine Jobs: Management & Administration)

Main Purpose of the Job
  • To provide a confidential secretarial service to the Kingsland Senior Management Team.
  • To ensure the efficient operation of the switchboard and the provision of a courteous service projecting the image of a professional organisation
Principle Accountabilities
  • To provide a full secretarial service to the Directors
  • Keep records of holidays for all Directors
  • Open and distribute the mail for each morning delivery – ensure correct postage applied on all outgoing mail ready for evening collection.
  • Book in and keep records of all taxis on company account and ensure correct charges are charged on all invoices.
  • To professionally receive visitors promptly and efficiently and ensure they are registered upon entering and leaving the building.
  • Organise the appropriate hospitality for visitors (buffets, tea, coffee, water, etc.)
  • To operate the switchboard for the site in a courteous and professional manner, dealing with incoming calls efficiently and speedily.
  • To ensure sufficient Exec supplies Tea, Coffee etc
  • To be responsible for ensuring that visitors evacuate the building in the event of fire.
  • Perform ad hoc duties as required by the Executive and Senior Management team.
  • Adhere to all Company and Legislative health, Safety and Hygiene requirements
  • Ensure hotel and travel bookings are arranged for all managerial staff
  • Type minutes of various management, health & safety etc. meeting as and when required.
  • Administer the Company Car/Designated Car User Policy ensuring compliance with Legislative/Company policies and procedures.

 Skills / Competencies required

  • Excellent Literacy and Numeracy (English/Maths GCE/GCSE ‘C’ Equivalent)
  • Excellent PC skills, Word, Excel and PowerPoint.
  • Strong Communications skills as the Job Holder will be required to communicate at all levels within and outwith the business
  • Well organized and methodical to cope with the differing management disciplines
  • Positive and flexible attitude as the Job Holder will be required to undertake a variety of jobs
  • Minimum of 2 years experience in a Senior Secretarial Role

As Secretary to Senior Managers, the Job Holder will  regularly be exposed to customers, suppliers, financial backers and will be responsible for the quality of typed documentation.

The Job Holder will have regular contact at all levels of the business both internally and externally.  It is essential that they present a professional and efficient image as they will often be the first line of representation for the business.

Attention to detail and accurate filing of information is key to this role. As the Jobholder provides support to the Executive plus all the Senior Managers, they will be privy to strategic, financial and personal information.

 The Job Holder will be required to resolve problems and issues (or direct the problem or issue to a relevant manager) i.e. telephone queries, employee queries etc. Judgement will therefore be required in respect of what issues to escalate.
