Main Job Purpose

To be responsible for the artwork management of all new packed at source product listings and ongoing artwork management including packaging amends to the required level of accuracy, efficiency and deadline achievement.  In doing so, ensure that all relevant processes, protocols and necessary statutory and customer requirements are handled and signed-off to the necessary guidelines. In addition, to be responsible for developing packed at source retailer own label & customer exclusive products – from concepts of the names, the labels & the designs to a successful launch.

This job role is pivotal to the successful launch of products packed at source and plays a vital role in other company processes and successful supplier interface.

Key Responsibilities/ Accountabilities:

Wines and other related products can originate from products bottled at source or bulk-shipped wine packed in the UK.  This role covers wines bottled at source and involves dealing with both large-scale and smaller boutique wineries all over the world. These listings cover a combination of Kingsland brands, contract pack brands, customer own label and producer brands, and also cover all channels of the wine trade (including retail, on-trade and wholesale).

Specific job responsibilities include:
  • New listings: Once a listing is confirmed by sales and process has started, create and manage the product specification and approve with the supplier. Manage timelines of new listings and communicate these deadlines to the wider business and suppliers. With support from technical department, manage the sign-off artwork to correct packaging specification and EU legal requirements as agreed with customer and supplier. Liaise with internal stakeholders on packing dates, product ready dates and in store dates. Review the process of the launch at weekly NPI meetings. Ensure final product has followed the specifications agreed at sign off.
  • Own Label: In addition to the above, manage the process for own label via the customer’s own label artwork system and FTP sites. Ensure suppliers, sales team and customers are aware of capabilities and requirements.
  • Packaging amends: Liaise with suppliers and printers if there are any necessary amends to labels.  This could be a move to improve the quality of the label, a name change, an amend driven by the customer, new vintage approval, or a change to accommodate new labelling legislation.
  • Packaging maintenance and design development for bottled at source wines: Along with the Product and Artwork Manager, act as Kingsland’s primary contact with selected designers for new products bottled at source.  This covers BGDL brands, retailer exclusives and any supplier brand launch collaboration. In conjunction with the Product and Artwork Manager and/or account manager, brief designers with the required detail and design direction with regards requirements for the new project.
  • Other duties: Barcodes – Issue new barcodes for all BG products packed at source where the supplier does not issue their own barcodes.  Keep abreast of any developments in the world of the GS1 UK or Radio Frequency Technology and ensure that our products comply with international bar-coding standards.
  • Out of office visits – Very occasional travel to packing sites, customers, suppliers or printers may be required to aide understanding and resolve any issues.
  • Packaging advice – Whilst there is a technical resource involved in the signing off process, the Producer Artwork Executive should keep abreast of any new laws and also maintain contact with the Wine Standards Board for information and advice.
  • One-off projects – The Producer Artwork Executive may be required to manage any one-off projects which relate to the role such as changes in customer packaging requirements.
  • Brandbank – maintaining information on all relevant products on Brandbank to ensure customers have up to date information at all times.

Qualifications and Experience:
  • Degree level education, or equivalent through work experience.
  • Verbal and written European language skills advantageous, but not essential.
  • Basic level WSET wine qualification an advantage, though not essential as training will be provided.
  • Advanced level WSET wine qualification will be required once in post.
  • Minimum experience of two years in a key administrative co-ordination role in a demanding environment.
  • Dealing and interacting efficiently and collaboratively with key stakeholders – internal staff and external parties (suppliers, customers etc).
  • Used to working to tight deadlines and dealing efficiently with extremes in workload.
  • Used to dealing with complex situations whilst keeping a clear head.
  • Evidence of working with minimum supervision and involving others when necessary.
  • Ideally used to working with supply chain processes and all incumbent issues.
  • Previous packaging/supply chain/production experience would be an advantage.
  • Bilingual would be an advantage but not a necessity.
  • A highly flexible approach to working, with superb organisational and project management skills and a proven ability to work to tight deadlines; can handle pressurised situations.
  • Takes responsibility and ownership; sees things through.
  • The highest level of attention to detail.
  • A robust and engaging personality who thrives with complexity, but can also look for creative solutions when required and will involve others when necessary.
  • Ease of use with modern I.T. systems, including Microsoft Outlook and Excel.
  • A “can-do” approach is essential as this role is pivotal to the success of the new listing process.
  • There will occasionally be a requirement to work additional hours as the job demands.
