Overall Purpose of the Job :
Provide day-to-day support to the Wine Department. Support colleagues within the department in administrative tasks and in monitoring and tracking auction-related activities and processes concerning incoming property.
Key Responsibilities/Tasks :
(Duties include but are not limited to the following)
Administrative Support:
• General assistance and support to all dept. staff as necessary, answering phones, distributing daily post etc.
• Support the sale coordinator to create contract (emailing Business Support Group for receipting requests on JDE and BI data management for creation of new clients in COS)
• Type up valuation spreadsheets for specialists and check prices from previous sales as requested
• Ad hoc tasks such as typing up minutes, delivering catalogues to clients in London etc.
• Posting catalogues out to clients
• Taking care of the in and out postage, catalogues library, stationery.
• Answering phone calls when specialists are travelling
• Other tasks as requested
Inventory management
• Help sale coordinator and specialists to oversee the transfer of goods before / after the sales
• Checking receipt advices of landed wine against product codes listed on lots descriptions, in order to process consistent data with the upcoming catalogue and post-sale requests. Update inventory management system with rotation numbers
• Ensuring that all the necessary information are correct and appropriate permissions gained prior to the transfer of property to client
• Liaise with our warehouse contact to follow up on inventory check requests
• Cross checking warehouse landings with cataloguing
• Request photos from the warehouse via their website
Sale Preparation
• Help specialist lotting up sales
• Before each sale update excel catalogues, valuations, stock control, etc.
• Assist with pack ups/collections of wines
• Assist with set up for tastings/events
• Assisting in liaising with event and marketing teams
Sale Day
• Ensuring that saleroom notices are up-dated and made available to clients in the saleroom, and to advise the Bids Office and Client Services of any late changes
• Help with phone bidding or other requests (photography of the sale, stats for Press office, etc.)
• Answering telephones during sales – put calls through to bids dept as necessary.
Skills/Competencies Required:
• Strong IT skills with familiarity of all Microsoft packages.
• Wine knowledge (or other relevant degree)
• Previous work experience – either paid or voluntary – within the Wine Sector
• Language skills (fluent in English plus one other European language)
• Ability to demonstrate client facing experience
