DESCRIPTION
Convivialty is looking for a highly motivated Office Manager with health and safety and line manager experience. This pivotal role is responsible for the smooth day to day running of the Conviviality Primrose Hill offices (currently Regents Park Road and two units in Utopia Village) to include management of health & safety, supplies and services, building maintenance, liaison with landlords, insurance providers and key suppliers. The role will manage the Front of House Receptionist and oversee Despatch.
This is a responsible role with little supervision. Time management, excellent communication skills and the ability to form effective working relationships are criticial to success along with being flexible and comfortable to challenge the norm.
Core Accountabilities include:
Building Maintenance and Supplier Management
- Manage relationships with landlords, building and maintenance service providers
- Manage routine remedial requests and ensure prompt repairs/ replacements are carried out
- Responsibility for ensuring regular maintenance and decoration
- Responsibility for ensuring good neighbourly relationships with adjoining buildings
- Responsibility for overseeing cleaners, cleaning supplies and waste removal
- Negotiate new accounts and contracts as required
Health & Safety
- Responsible for Health & Safety in all 3 offices and be the liaison point for our external and Internal health & safety contacts
- Ensure all essential tests are carried out as required including the weekly fire alarm testing
- Ensure we have a sufficient number of fire marshalls and first aiders and organise training when required
- Ensure all risk assessments and desk seating assessments are carried out as required – including maternity assessments.
- Ensure health & safety documents and audit logs are maintained
- Ensure any accidents are recorded in the accident book and any necessary actions taken
- Continuous improvement to meet changing H&S legislation
Vivid
- To be a pro-active representative of Vivid and work to ensure we are running the office in an eco-efficient manner.
- To manage the ISO14001 and ESOS environmental audits
Security
- Responsibility for all security arrangements and ensuring the company is adhering to recommended H&S practices
- Management of the fob entry system and responsibility for maintaining records of all key and security fobholders
- To act as a keyholder for out of hours emergencies and be available for 24 hour call out as required
Insurance
- Administration of general insurance claims – car, travel and buildings
- Ensure that statutory notices are displayed as requested by law
General Duties
- Manage the office budget
- Ensure sufficient supplies of kitchen and cleaning materials – including glass washers
- Ensuring sufficient stationery supplies in all buildings.
- Support the FOH Administrator with Meeting room set-up and the meeting and greeting of guests.
- Provide lunch cover and holiday/sickness cover on the front desk as required.
- To work with HR to support the company car administration
- Cleaning of water filter machines and kettles
- Responsibility for office paperwork
- Support Despatch administration as required
- Representing Convivilaity Group both internally and externally
- Varied Ad hoc requests
REQUIREMENTS
Knowledge/Experience/Skills
- Previous Office Management experience
- Previous Health & Safety experience
- Previous Line Manager experience
- An excellent communicator able to build relationships with key suppliers and contractors, the local community and fellow-employees.
- Able to work under pressure and manage the unpredictable

Salary for the role will be between £30,000 - £35,000 depending on experience.
