Reservationist (Wine Jobs: Management & Administration)

MAIN RESPONSIBILITIES:

1. To process accommodation enquiries at the current rates and upsell where appropriate in a manner and tone in line with company standards.

2. To be fully conversant with Hart (training provided), or any other computerised systems installed by the Company.

3. To send accurate reservation confirmations to guests the same working day.

4. To respond to enquiries via telephone/email or fax within the same working day.

5. To chase provisional bookings to obtain written confirmation.

6. To stay on top of all enquiries/brochure requests and ensure that they are followed up within 3 days.

7. To negotiate rates in line with the strategy set by the Group Revenue Manager.

8. To follow up enquiries and record new business enquiries taken and turned away.

9. Keep all departments within the hotel up to date with any amendments/re-issues, new bookings and cancellations to reservations or the function sheets once they have been issued.

10. To liaise with reception on rooming lists, billing procedures and accounting details for events.

11. To ensure that credit facilities have been set up or third party authorisation forms completed where needed.

12. To arrange and provide additional requirements for clients, eg: flowers.

13. To identify a potential sales lead and pass them to the Business Development Team.

14. To monitor availability of bedrooms in the diary and close out availability where appropriate through third party websites.

15. To maintain a relationship with agencies to ensure enquiries are received.

16. To be familiar with competitor hotels within the area. Visit regularly where appropriate.

17.  To maintain an ordered and efficient work environment.

18. To be fully aware and comply with all fire, health and safety and hygiene regulations.

19. To abide by Health and Safety Regulations as required by Law

20. Any other reasonable tasks as requested
